The rules for using Backoffice with an account provided by Primeforce Tech Ltd.
On this page
- Primeforce Tech Ltd gave you this account so you can do your job. Use it only for that.
- Keep your sign-in to yourself and turn on two-step verification.
- The business data you work with belongs to Primeforce Tech Ltd. Handle it according to their policies.
- Sign-ins and key actions are recorded for security and audit.
1. About these terms
Backoffice (the “Service”) is business software provided to Primeforce Tech Ltd (the “Customer”) by the provider of Backoffice (the “Provider”, “we”) under a subscription or licence agreement (the “Customer Agreement”).
These Terms of Use apply to you as an individual user: an employee, contractor or other person whose account was created by the Customer. Signing in means you accept them. If you do not accept them, do not use the Service and tell your administrator.
If these terms conflict with the Customer Agreement, the Customer Agreement takes precedence between the Customer and the Provider. Your employment or engagement terms with the Customer, and the Customer's internal policies, also apply to your use of the Service.
2. Your account
- Accounts are created by the Customer's administrators. You cannot register yourself.
- Each account belongs to one named person. Do not share it, and do not let anyone else use it.
- The Customer decides your role, what you can see and do, and how long your access lasts.
3. Keeping your account secure
- Use a strong password that you do not use anywhere else. Keep it confidential.
- Turn on two-step verification (authenticator app) when it is offered. Some roles require it.
- Only one session per account can be active at a time. Signing in somewhere else ends the earlier session. Sessions also end after a period of inactivity.
- Sign out on shared devices. Do not save your password in a browser on a shared computer.
- If you think your account or device has been compromised, tell your administrator straight away. You are responsible for activity under your account until you report it.
4. Acceptable use
Use the Service only for the Customer's legitimate business, within the role you were given. You must not:
- try to get around access controls, use another person's account, or reach data your role does not allow;
- probe, scan or test the security of the Service, or interfere with its operation or other users, unless the Provider has authorised it in writing;
- reverse engineer, decompile, copy or resell the Service, except where the law allows this despite this restriction;
- access the Service with bots, scrapers or other automated tools, except through the Provider's official API using credentials the Customer issued;
- upload malware, or content that is unlawful, infringing, defamatory or harassing;
- enter personal data without a lawful basis, or more personal data than the task needs;
- use the Service to build a competing product, or to benchmark it for publication without the Provider's consent.
5. The Customer's data
Financial, HR, payroll, customer, supplier and operational records in the Service are the Customer's data. The Customer decides why and how that data is processed. Handle it according to the Customer's policies and applicable law, including the Kenya Data Protection Act, 2019.
Export, print, download or share data outside the Service only when your role and the Customer's policies allow it. How personal data is handled is explained in the Privacy Notice.
6. Monitoring and audit
Sign-ins, security events and changes to business records are logged with the time, the user and the network address. These logs support security, fraud prevention, troubleshooting and audit. The Customer's administrators and auditors can review them, and the Provider uses them to operate and secure the Service.
7. Intellectual property
The Service, including its software, design and documentation, belongs to the Provider and its licensors. It is licensed to the Customer, not sold. These terms do not transfer any rights in it to you. Suggestions you send about the Service may be used to improve it, with no obligation to you.
8. Integrations and third-party services
The Customer may connect the Service to third-party services such as email and SMS delivery, payment providers, banks, or tax authority systems (for example KRA eTIMS). Data sent through those connections is also governed by that third party's terms. The Provider is not responsible for third-party services it does not control.
9. Availability, changes and support
We work to keep the Service available and secure, and we schedule maintenance to limit disruption. Service levels, if any, are set out in the Customer Agreement. We may add, change or retire features as the Service develops; changes that materially reduce functionality are handled under the Customer Agreement.
For help, contact your administrator first. They can escalate to the Provider's support team.
10. Suspension and termination
The Customer can suspend or remove your access at any time, for example when your role changes or your engagement ends. The Provider may suspend an account to protect the Service, other customers or data. Examples are a suspected compromise, a breach of these terms, or a legal requirement. Where it is lawful and practical, the Customer will be told.
11. Disclaimers and liability
As between you and the Provider, the Service is provided for the Customer's business use. To the extent the law allows, the Provider gives you no personal warranties and has no personal liability to you; warranties, liability and remedies are dealt with between the Customer and the Provider in the Customer Agreement. Nothing in these terms limits liability that cannot be limited by law.
12. Changes to these terms
We may update these terms. Each version shows its number and effective date, and earlier versions are listed under Version history. For a material change, the Customer will be told in advance, and you may be asked to accept the new version when you next sign in.
13. Governing law
These terms are governed by the law named in the Customer Agreement. If it names none, they are governed by the laws of Kenya, and the courts of Kenya have jurisdiction.
14. Contact
Ask your administrator at Primeforce Tech Ltd about your access, your role or the Customer's policies. Send questions about these terms or the Service to welcome@primeforce.africa.
